Minutes of the Clays Golf Council Meeting held on Thursday 9th December 2021 at 6.30 pm in the Clubhouse

The Captain welcomed the members of the Council. The minutes of the last Council meeting held on the 9th November 2021 had been circulated.  The Captain asked if they were a true record.  Proposed by DW seconded by GR  that the minutes were correct in content and were thus approved and duly signed.

Matters Arising

Health and Safety – none reported

Correspondence – none reported

There had been some complaints from members about a recent competition which had originally counted as a qualifying competition on Wales Golf. However, PB was told of problem and he accessed Wales Golf to change the competition to non-qualifying. DP explained all competitions in Winter should be non – qualifying. This is because of weather, course conditions and number of holes playable which should run until March.

Management  No update but the green staff have done an excellent job clearing the course after the recent storm Arwen.

Above are the figures for the month to 7th December.  These include income from the monthly medal competitions and two membership subscriptions.  There is also a £50 donation to the Captains Charity.

Payments include an amount to PDQ Signs of £306 in respect of Honours Board updates £180 and Captain / President Boards £126.

Also included in the payments above is the Levy payment to Wales Golf Union.  This is £3562 which agrees with the anticipated amount based on member numbers submitted. This leaves a balance in the accounts of £526.  As previously suggested in the finance report dated 10th October this is used to

  1. Fund the increase in DGU fees 2022 collected in advance during 2020. This equates to £382.
  2. Balance is used to subsidise ladies in respect of their 2021 fees.

Action   Council to agree the proposal in 1 and 2 above.

Previously a request to change banks was made. Unfortunately, at the moment a number of bank accounts for clubs and societies are closed to new members.  This will be kept under review and progressed once accounts have re-opened.

The proposals were discussed by council, and it was agreed to accept the Treasurers proposals of:

  1. Fund the increase in DGU fees 2022 collected in advance during 2020. This equates to £382.
  2. Balance is used to subsidise ladies in respect of their 2021 fees.

Ladies Section 

The Ladies finished their season with a very enjoyable Christmas Party lunch in the clubhouse, catered for by Hayley. The weather may have closed the course cancelling the 9 hole planned competition but it didn’t dampen the Ladies spirits. 

Mens Section 

The men held the quarterly medal.

Senior Section

The Seniors held their AGM with 31 members attending. Chris Jacques is the new Seniors Captain for 2022 and will join the Council as Senior’s representative. The past Captain will continue to join the meetings whilst we continue to update the constitution. During the AGM a cheque for £1000 was presented to the British Legion.

Competition Report

No competition report, season has drawn to a close. 

Review of the constitution

The Council agreed to the changes which we had looked at in the last meeting and which had been circulated by SS.

CJ has also been looking at updating the Seniors constitution and has been guided by the new Wales Golf formats for constitutions and policy documents. He will circulate the templates to council. For now it was agreed to continue updating our current constitution.

There followed a long discussion about the need for making sure the text of the revised Constitution would be viable without putting specific numbers for things like competition entry fees.

SS will alter the text following this discussion and circulate to council.

GR needs to update the competition entry forms to reflect the new constitution. It would be useful if we had an up-to-date list of types of membership, corporate, points or full. SS will request a members list from JG indicating type of membership held.

It was agreed that Knock- Out and Board fee competitions should be increased to £4 plus £1 ball sweep if appropriate, in line with shop competitions. Corporate members to pay £8. This should start from 1st January.
