Council Minutes: March 2019

Minutes of Club Council Meeting held on Tuesday 12th March 2019 

Present: Club Captain -Chris Jones, President – Bob Brown, Lady Captain – Dawn Thompson, Vice Captain – Nigel Davies, Treasurer – Christine Evans, Juniors Rep – Jane Evans, Competition Secretary – Gareth Roberts, Handicap Secretary – Irwin Elkin, Secretary – Dave Riley

Apologies: Seniors Captain – Don Wraight, Management – Josh Green

Minutes of last meeting: These were approved and signed by the Captain, There were no matters arising. The Minutes were placed on the Notice Board

Management Report: No report received however the following areas were raised

Course Work – 2nd Green is to be bore holed to assist drainage

11th Green is to be rebuilt as a raised green c/w bunkers

13th – Potential Tee extension combined with 11th Tee

16th Hedge by Telegraph Pole is to be removed

Locker Room scheme is progressing

Life Belts by the ponds to be sourced – Captain

Mens Section:

The Spring Quarterly Medal was held on Saturday, 1st March.

1st       Ernie Williams             Net 66

2nd      Paul Williams  Net 67 (countback)

The DGU held their Spring meeting for club representatives on Wednesday, 6th March at Denbigh GC.

A minutes silence was observed for Eifion Jenkins, who until recently served as DGU Treasurer.

Main points raised during the meeting were as follows :

The DGU Spring Meeting, due to be held on Sunday 7th April at Wrexham GC,  has been very well supported and club reps were urged to accept no further entries. Wrexham GC have released further tee times in order to meet demand.

The Welsh Handicap Team Championship Regional Qualifier will take place on 19th May at Northop GC. Wales Golf will be contacting each club regarding the running of their individual qualifiers, from which 4 or 8 players will be selected to go through to the regional event.

Details of qualifiers for the 2019 Jubilee Plate are to be submitted to the DGU Secretary by the 31st March, together with total entrance fees @ £10 per pair.

The 2019 DGU League fixtures are now on the website.

14 players (H’Cap 7.4 or less) are due to play in the County Scratch Team Trial Day on 31st March at Llangollen GC, with a further 2 players expressing an interest in playing for the team.

The 2018 Past Captains’ event, due to take place on Sunday, 10th March, had to be postponed due to the course being closed as a result of bad weather. A rearranged date is to be announced.

The sheet for the four 2019 DGU League matches has been put on the noticeboard, with details of dates and requests for members to indicate an interest in taking part and their availability for each match. To date, 14 members have expressed an interest in taking part.

The following notes are from the Men’s Section Report that were produced for the Club Council meeting on 12th February :

The DGU held a club representatives meeting at Denbigh GC on Friday, 25th January. The following decisions were made :

  1. In order to try and boost attendance, the annual Club Reps meeting will take place in the evening next year at Abergele GC. It will then alternate as an evening meeting between Clays and Abergele. A decision on moving the AGM from Denbigh GC was deferred until more information was available as to whether Denbigh GC would be charging the Union a fee to hold the meeting.
  2. The county championship (0-6) would run alongside the County Captains day.
  3. The mixed competition has been cancelled for the foreseeable future.
  4. Handicap allowance would be 90% for the DGU Spring and Autumn meetings etc.
  5. DGU reps would be asked to help support DGU events but the majority of the work would be undertaken by the DGU executives.
  6. Presentations following the Spring and Autumn events would no longer take place. Results and prizes would instead be distributed within 72 hours of the competition closing.
  7. It was agreed not to continue with online entry for the Spring and Autumn events.

By invitation the meeting was also attended by two representatives from Wales Golf (formerly Golf Union of Wales), Mike Bryant, next years GUW President and Glenys Jones (GUW & AGC). The meeting was told of the ongoing work which Wales Golf  is currently undertaking to support clubs. Mike and Glenys also pointed out that they will, over the coming months, do their best to visit all the clubs within the DGU in order to better understand individual issues and to promote in more general terms the facilities which GUW can offer.

7th July : County Captain’s Day at Clays GC

4th September : County President’s Day at Rhos on Sea GC

22nd September : DGU Autumn meeting at Llangollen GC.

Seniors Section:

Senior’s Nearly St. Davids Day was held on the 28th February with 61 Seniors attending the competition. A very wet day but all managed to complete the course with only a few deciding to retire after 14 holes.

Due to a large field we started on 4 tees so that all could complete and return to the clubhouse where Hayley provided us with leek and potato soup and sandwiches.

8 prizes all Welsh related were presented by myself and Roy Jones who provides a contribution to the day plus the trophy.

March medal went ahead again inclement weather

Once again high praise for the green staff for their continued efforts to improve the course.

Planting has started on the bank as you walk to the 5th tee plus to the left by the new fencing separating cottages and the course.

Defibrillator Batteries need to be replaced, Council to pay

Sad news at the passing of Eifion Jenkins previous treasurer for the club and Ken Hutchinson. Ken had been Captain and President in the past.

Updates for funerals will be emailed when known

A quick discussion was held re the sending of either a donation or flowers to the funeral. Captain to arrange

Ladies section:

Daily Mail Match played at Wrexham – Clays won

A general discussion was held about the entries to the Purvis Cup as only limited entrants have been put in. This will try to be further supported

Junior section:

Nothing to report

Competition Secretary:

Ladies Entries are in for the Honours Boards Competitions but still waiting for the Men’s to be completed

All GUW Competition entries have been completed

Annodata fixture has just been received

Clays 1 to play High Leigh – 15.4.19

Clays 2 have a Bye

Handicap Secretary:

Nothing to report 

Social Sub Committee:

Last Supper Tickets are on sale and are selling well. DJ requires a £50 deposit

There was a general discussion re Social events and there worth. The majority of the Council showed a good appetite for Social events to continue

Charities 

St Christopher’s new minibus will display the Clays Logo – Format required by Josh G 

Presentation Cheques are required for the Last Supper where the charity representatives, Y Canol Kathy Jones and St Christopher’s Ian Connell will be invited as guests. DR to arrange invites. Christine Evans requested details of values for the accounts 

Treasurers Report:

AGM Report has been pasted to DR in preparation for the AGM

A discussion was held around both DGU and GUW Fees

Jan/Feb Financial Report was submitted

A review of the How Did I Do system is to take place as the cost is now to be supported by the Members

Correspondence

Constitution Change Letter has been received from Reg Peacock. This will be included in the Council changes of the Constitution at the AGM 

AOB:

AGM Preparation – Final Reports are required along with the previous AGM Minutes

Constitution Changes were discussed. DR to change and issue to Council in preparation for the AGM

Past Captain’s Society – The Administration of the Society has been an issue due to lack of volunteers which has dropped the number of fixtures to 4 at present. Llangollen Llangollen Captain Phil Gee and President Graham Pattinson have taken on the roles and Clays has added an additional fixture (28th August) along with Old Colwyn (Date yet to be confirmed)

Captain pointed out that this is his last formal Council Meeting and thanked all involved with a challenging 12/18 months but it has all been enjoyable – All the best to Nigel on his coming year

Council reciprocated and thanked both Chris and Bob for their help and enthusiasm over the last 18 months
